Every missed call is a private patient who rang the next practice.

An AI receptionist that answers in your practice's name around the clock, takes new-patient enquiries, cancellations and pain calls, and gets them to reception as a text and an email within seconds.

£80 to set up, then £80 a month plus 16p a minute of call time.

Reception is with the patient in front of them

Your receptionist has a patient at the desk, a card machine in one hand and two lines ringing. One of those lines is a new private patient who found you on Google thirty seconds ago. They give it six rings and then they ring the practice on the next street.

New-patient enquiries don't arrive at convenient times. They come at one o'clock when the desk is covered by one person, at ten past five when the phones have gone over, and on Sunday evening when a filling has come out.

The calls that hurt most are the pain calls. Somebody with a broken tooth and a swollen face rings after hours, hears a voicemail greeting, and is left deciding on their own whether to go to A&E or wait until Monday.

What it does for a dental practice

    Answers in your practice’s name

Your greeting, your opening hours, your wording — at lunchtime, after five, and on a Sunday night.

    Takes new-patient enquiries properly

Name, number, NHS or private, and what they’re after — a check-up, a second opinion, a treatment they’ve read about — so reception can ring back already knowing the answer.

    Catches cancellations and reschedules

It takes a cancellation or a change of day as a message with the patient’s name and their appointment, so you can start filling the gap the same morning.

    Captures hygienist and check-up requests

Routine recall calls get logged with the times that suit the patient, instead of ringing out while the desk is busy.

Treats pain, swelling and trauma as urgent

It reads out the practice’s own emergency instructions — the ones John configures with you — and flags the message as urgent so it isn’t sitting behind four routine enquiries.

Texts and emails every single call

A text to the practice mobile and an email with the full transcript, seconds after the caller hangs up. Nothing depends on anyone checking a portal.

A pain call at nine on a Sunday night

SamGood evening, Bluebell Dental — the practice is closed just now, but I can take your details and get them to reception first thing. What's the reason for your call?

CallerI've broken a tooth and it's really sore, the side of my face is starting to swell.

SamSorry to hear that, that does sound urgent. Can I take your name and the best number to ring you on?

    CallerSarah Kelly, 07712 448 990. I'm not registered with you, I'm a new patient.

SamThanks Sarah. Are you an NHS patient or would you be looking at private treatment?

CallerPrivate, if it gets me seen quicker.

SamUnderstood. I'm marking this urgent and it's going to the practice now. If the swelling gets worse tonight or you can't swallow properly, the practice asks that you ring 111 rather than wait.

    CallerThat's grand, thanks.

Illustrative — John writes the script around your own business.

Ten calls to test any dental receptionist with

This is the list we use ourselves. Ring 028 9622 8892 and run all ten at Sam — it costs you nothing and it's the honest way to judge it.

    • 2An NHS patient asking for an appointment
    • 3A broken tooth, and they’re in pain
    • 4Somebody cancelling tomorrow’s appointment
    • 5Booking a hygienist
    • 6"How much is Invisalign?"
    • 7"Can I speak to the dentist?"
    • 8Swelling, and they’re worried about infection
    • 9An emergency appointment wanted tonight
    • 10Someone mumbling with a strong Northern Irish accent

Hear the dental agent before you commit

We're not going to put a practice's name on this page that isn't a client. We don't have a dental practice live yet — what we do have is a working dental agent you can talk to today, built on the same setup that answers calls for garages in County Tyrone every day of the week.

Ring 028 9622 8892 and Sam, our own receptionist, picks up. Put the ten calls above to it. If it handles them the way you'd want your desk handled, ring John on +447555390330 and he'll build yours around your practice.

What it does not do — plainly

    • It does not write into Dentally, EXACT, CareStack or any other practice management system today. It takes the details and sends them to you; a person puts them in the diary.
    • It does not give clinical advice, ever. It reads out the emergency instructions you gave John and nothing beyond them.
    • It does not quote treatment prices unless you have given John fixed figures you are happy to publish over the phone.
    • If your practice genuinely needs full PMS integration to make this worthwhile, John will tell you that on the call rather than take your money.

Every dentist and dental practice working in the UK is registered and regulated by the General Dental Council.

Call details can include health information, which UK GDPR treats as special category data. We process them as your processor under a written agreement, following the UK GDPR guidance published by the Information Commissioner’s Office.

    Questions we get asked

Yes — it asks. Whether someone is looking for NHS or private treatment is one of the first things it establishes on a new-patient call, along with their name, number and what they need, because the answer usually decides what reception does next. If your list is closed to NHS patients, John puts that in the script and it says so plainly rather than raising hopes.

It treats pain, swelling and trauma as urgent. It takes the details quickly rather than working through the full script, reads out the practice's own emergency instructions — the ones you give John at setup, not anything we make up — and flags the message as urgent so it stands out in your inbox and on the phone. It does not give clinical advice.

No, and we'd rather be straight about that than sell you something we haven't built. It takes the booking, cancellation or reschedule request as a message — name, number, what they need, the days and times that suit — and it lands with reception within seconds by text and email. A person confirms the slot.

That's the fairest test there is, so don't take our word for it. Ring 028 9622 8892 and Sam, our own receptionist, will answer — talk to it the way your patients talk. If it mishears something it asks the caller to repeat it instead of guessing, and the full transcript comes to you either way.

£80 a month plus 16p a minute, so 300 minutes of call time is about £128 a month and 500 minutes about £160 a month, both after the one-off £80 setup. There's no VAT on top — we're not VAT-registered.

Live transfer isn't switched on as standard. It's built to catch the calls reception physically can't get to — the ones ringing out while your nurse is chairside — and to get you the details fast enough to ring back within a minute or two. If a live handover matters to your practice, say it on the setup call with John and we'll tell you honestly whether we can do it.

Calls are processed by our voice-platform partners under UK GDPR data-processing terms with the international-transfer safeguards the ICO requires, and we act as your data processor under a written agreement, so the patient details remain yours. Every call comes to the practice as a text and an email with a transcript, recordings can be made available for review on request, and our privacy policy sets out retention and how to have data deleted.

About a week. John sits down with you for fifteen minutes to go through your opening hours, your emergency instructions, what you want asked of a new patient and what should never be said, then builds the script, lets you test it, and switches the call forwarding on. It's 30 days' notice to cancel, no long contract.

Ring our own receptionist on 028 9622 8892Sam answers it

Test it with the hardest question you get all week. Then talk to John about your own setup.
